This release changes how roles and access work in EOS One. We simplified the role structure and tightened who can do what, so everyone from Owners to Free Observers gets the right level of access.
Four roles instead of five
Manager is gone. EOS One now has Owner, Admin, Member, and Free Observer. Manager created confusion about what it actually unlocked and made access harder to manage.
Manager migration is automatic.
Anyone who held Manager becomes a Member on their next sign-in. Nothing for you to do. They pick up where they left off with the Member permission set applied.
Owner and Admin are now nearly identical.
Owner keeps one exclusive power: deleting the company. Everywhere else in the product, Admins can do what Owners can. You no longer need to hand out Owner seats just to give someone full access.
Admins can transfer ownership.
Before, only the current Owner could do this. Now any Admin can start the transfer. The new Owner is promoted, the previous Owner drops to Admin, and the acting Admin keeps their own role.
A dedicated experience for Free Observers
Free Observers are read-only participants. They need visibility into the official state of the business without running meetings, managing the V/TO, or touching settings. This release gives them an experience built for that role instead of a stripped-down Member view.
They land on the V/TO.
After sign-in, Free Observers go straight to the V/TO instead of the Dashboard. Dashboard, Insights, Atlas AI, and Teams no longer appear in their navigation.
Read-only access to official records.
Free Observers can view the Official V/TO and Process Documents. Drafts are not listed, and the create, edit, rename, archive, and make-official controls do not appear anywhere for them.
Org Check-Up participation.
Free Observers can take the Organizational Check-Up and contribute to survey data. They cannot take the Culture Check-Up, open Insights, or use Atlas AI.
Access now matches ownership
V/TO drafts are Admin and Owner territory.
Only Admins and Owners can create V/TO drafts. A Member who opens the V/TO Builder with no drafts shared with them sees an empty state. Draft collaboration works the same as before: once an Admin or Owner shares a draft, the Member can work on it with the permissions they were granted.
Members with edit access can publish the Accountability Chart.
Publishing a draft Accountability Chart as the official chart is no longer limited to Admins and Owners. A Member with Edit access to a draft can click Make Live and publish it. Members with view-only access still see Open in the row menu, not Make Live.
Meeting edits belong to the meeting owner.
Editing settings, managing attendees, sending calendar invites, renaming, and deleting are now limited to the meeting owner. Other attendees keep their Join button but no longer see the edit controls.
Tighter controls for Admins and Owners
Inviting new users is an Admin action.
Members can add existing organization members as meeting attendees, but only Admins and Owners can invite someone new to the organization, whether from the attendee picker or from Settings. This keeps your user roster and billing under Admin and Owner control.
Settings is simpler for Members.
Members now see only the Account section in Settings: their own profile and preferences. Company settings, Teams, Billing, and People & Roles are gone from their navigation. Members can still edit their own profile.
