FAQ: How to Run a Live Meeting in EOS One

Updated over 2 months ago

A Live Meeting in EOS One keeps your team on the same page in real time. Whether you’re meeting in person or virtually, Live Meetings ensure that everyone is viewing the same content and following the same flow.

This guide explains what Live Meetings are, how the Join button works, and best practices for running one effectively.

What Is a Live Meeting?

A Live Meeting is an interactive mode inside EOS One that syncs the meeting view for all participants.
When a Live Meeting is in progress:

  • Everyone sees the same page at the same time.

  • The meeting leader (or whoever is navigating) controls what the group sees.

  • Changes to the agenda or navigation are reflected instantly for all participants who have joined.

Live Meetings are especially helpful for:

  • In-person meetings without a projector or shared display.

  • Virtual meetings where you want participants to follow along without screen sharing.

What the Join Button Does

The Join button is how you enter a Live Meeting.

When you click Join:

  • You connect to the shared meeting view.

  • Navigation changes made by any participant affect everyone else who has joined.

  • You can see updates in real time as items are marked complete, issues are resolved, or Rocks are reviewed.

Note:
If you need to make private edits—like adding a last-minute To-Do or Issue without disrupting others—click Leave, make your edits in the meeting summary, then rejoin.

How Live Meetings Work with Video Conferencing

EOS One does not include built-in audio or video conferencing.
You can run Live Meetings alongside tools like Google Meet, Zoom, or Microsoft Teams.

Example setups:

  • Virtual: One person joins and shares their screen via your video conferencing tool.

  • Collaborative virtual: Everyone joins the Live Meeting, even without screen sharing, so they can click through items together.

  • In-person: Everyone opens their own device and clicks Join, removing the need for a projector.

Best Practices for Running a Live Meeting

  1. Decide who will navigate.
Having one person control navigation keeps the meeting focused and avoids accidental jumps.

  2. Join early.
Encourage participants to join before the meeting starts so everyone begins on the same page.

  3. Leave to make private edits.
This prevents unexpected changes to the shared view.

  4. Use with your existing video tools.
Live Meetings enhance, not replace, video conferencing.

Common Questions About Live Meetings

Is Live Meeting the same as video conferencing?
No. Live Meetings sync your meeting view, but you’ll still need a separate tool for audio and video.

Does everyone have to join?
No, but joining keeps participants aligned. If only one person joins and shares their screen, others can still follow along visually.

Can more than one person control navigation?
Yes—but be aware that changes made by one person will affect everyone’s view.
